We also use III Sierra and yes, we did have a few subscriptions that I was not able to place through our former agent, Swets.  

 

One of the ‘Fixed Length’ codes in our Sierra order records is used to indicate the month that our subscription begins and we renew on a yearly basis only, so it is very easy to run a ‘Create List’ in Sierra of all subscriptions beginning with a particular month or months.  I export the list into MS Excel and then sent the MS Excel list on to our Librarians for review. 

 

When I create the list in Sierra, it gives me the option to include the payment history for all years or all payments back to a requested date.  The list that I create for our Librarians has just the last renewal payment amount included.

 

Once I have the Librarians’ approval to renew subscriptions and I start renewing them,  I will see both the renewal price on the publisher’s renewal invoice and the price we last paid appearing on the list I had created in Sierra.  If a subscription price has increased a lot, I will skip over this subscription until it has been investigated and I receive further approval from the appropriate Librarian.

Do you order popular titles directly from the publishers when they are not available for order through your print subscription agent – ‘must order direct’? If so, do you have a standard of how you track renewal dates and subscription price increase each year?
