Don't we all know the feeling.

About 2-3 years ago, when our e journals was MUCH Smaller, I started a
word file that I update every month when I update my statistics.  When I
do my monthly statistics, I list each SPECIFIC TITLE.

I am trying to find the time to put all of this into a database
program, although an Excell sheet might work as well.  Anyway, here is
what I have done. It may be easier to list  this. I also do this with
our databases.

For us, Purchase means spending extra to access or in the case of MD
Consult, the purchase of this database which has electronic books and
journals.   Gift means something we do not have to pay anything for or
can separate a cost out from.  (ie.)  "bundled" comes with print
subscriptions

2A   Journals ELECTRONIC ONLY (Purchase)
         (how they are purchased in case we have to identify titles to
possibly drop e-access to)
      2A1  Direct
       2A2  Ovid
       2A3  MD Consult (etc.)
       2A4  OCLC
      2A5 ==>

2B  Journals ELECTRONIC & PRINT (Purchase)
      2B1  Direct purchase (how they are purchased)  (various
publishers)
     2B2  Ovid
     2B3 MD Consult   (etc.)
    2B4 ==>

2C Journals ELECTRONIC ONLY (Gift)

2D  Journals ELECTRONIC & PRINT (Gift)

When I add a journal title to my monthly statistics and this list, it
has already been added to our journal home page.  I double check our web
pages that it is there and can click on to refresh my memory for
catagorization.

On my list, I type in the title in the appropriate catagory, A,B,C or D
and if there is a further breakdown as to where we are getting it from.
After the title I add the month/year it was added, then  bold and
italicize it.  This way, I will know what has been added this fiscal
year.

  If a title changes, when I put the new title in, I identify the
inactive (dead) title by placing it in ALL CAPITALS, keep the entry date
and ADD the new date of change.  I then copy/paste it at the top of that
group.

  By using the "numbering" button in our "Word", I can tell how many
titles in each group are active or inactive.

If a title is received in more than 1 way (ie. P +E (gift) bundled  as
well as through P+E (purchase) Ovid; Nursing collections) I will note
each line with  the opposite number (Purchase would get 2D for gift :
the gift would get 2B3.2for the nursing collection)

This is why I would like to move it to either a database or excell
spreadsheet.

Each year, after I do my annual report (Doing it right now), I
unbold/italicize the titles and start fresh.

It is ALOT of work each month and even then you KNOW you will miss
something that someone else did that you were not informed of but the
onlly way I know to get any fairly accurate count.

Our library is frequently asked to provide statistics about our serials
collections. In recent years we have been asked for additional information
about our electronic resources. Specifically, how many paid vs. free
subscriptions we have. We have not come up with a good way to sort out
this information. In many cases, our electronic access to titles comes
free with a print subscription. In other cases we pay an additional fee
for online access in addition to a print subscription. In yet other cases
we pay a flat fee to have online access to either a group or all of a
publisher's titles online.

How do other libraries arrive at counts for their online serials
titles?
