Colleagues:  Below is a hand-out I made for a workshop on format integration
for the serials catalogers here at UCSD.  I hope that you will find helpful.
There are a couple of things here that differ from the information in the
article on format integration in the current issue of Serials Librarian
(notably the inclusion of initial articles in the 246).  I checked with CONSER
and this document reflects CONSER policy (to delete the articles).  I take
responsibility for any errors (and appreciate learning about them).

In most online systems (including OCLC) all 246's are indexed.  Display may be
affected by the choice of indicators, depending on the choices your library has
made in setting up your OPAC.  In my library we have set up our OPAC displays
without regard to the first indicator.  For original cataloging, we try to
set the indicators according to the guidelines given here for the benefit of
our poor colleagues who still produce cards.  For copy cataloging, we
accept whatever we find because access is unaffected by the indicators.

                        MAJOR CHANGES FOR PRINTED SERIALS

This is a summary of the major changes for printed serials due
to format integration.  More detailed information is
available in the USMARC Format for Bibliographic Data
and in the forthcoming edition of the CONSER Editing
Guide.  Special fields for Special Collections (e.g.,
$5) and CJK (e.g.,$6) are not shown in these examples.

                               TITLE ADDED ENTRIES

With format integration, title added entries can be
tagged in three different ways:

246 - Variant titles
730 - Related/analytical titles established under title
740 - Related/analytical titles not in catalog entry
form

Before format integration, serials catalogers used the
246 for variant titles on the piece and 730 to cite
other publications and titles of sections within the
serial.  Now we must decide between the 730 or the 740
for related and analytical titles.

730 -- USE THIS FIELD TO CITE RELATED TITLES AND
ANALYTICAL TITLES WHICH ARE ESTABLISHED UNDER TITLE (OR
UNIFORM TITLE, AS APPROPRIATE).

*Use of this field is more restrictive than it was before format
integration.

*Use the 730 field when a bibliographic record
exists for a related publication and you are making
an added entry using catalog entry form of the
related title.

245 00 Community cross-reference guide to Phonefiche.
580    Guide to microfiche collection: Phonefiche.
730 0  Phonefiche.
787 1  $t Phonefiche

*Use the 730 field when a heading has been
established for a publication within your
publication.

     500   Issues for 1922-1931 include:  The woman voter
     : official organ of the League of Women Voters.
     730 02 Woman voter (Albany, N.Y.)

INDICATORS FOR THE 730 FIELD:

1ST INDICATOR -- NUMBER OF NONFILING CHARACTERS [Note:
LCRI specifies to drop initial articles from uniform
titles]

2ND INDICATOR --TYPE OF ADDED ENTRY

[blank] - Related title or other unspecified
relationship
2 - Analytical entry

* Indicators 0 and 1 are now obsolete.

740- USE TO CITE ANALYTICAL TITLES OR RELATED TITLES WHICH ARE NOT
ESTABLISHED IN CATALOG ENTRY FORM.

*Use for titles of the individual works within the publication which have not
been established separately.

     500    Includes: Directory of Mexican manufacturers.
     740 02  Directory of Mexican manufacturers.

*Use for titles of related publications for which no
 entry has been established or you are citing a form
 different from the main entry on the related record.
 (This use will not occur very often for serials).

550    "Brought to you by the editors of Novedades."
740 0  Novedades.

[Cataloger has no clue which of the many Novedades they
are talking about].

INDICATORS FOR THE 740 FIELD:

1ST INDICATOR -- NUMBER OF NONFILING CHARACTERS

2ND INDICATOR --TYPE OF ADDED ENTRY

[blank] - Related title or other unspecified
relationship
2 - Analytical entry

*Indicators 0 and 1 are now obsolete.

246 -- USE FOR ALTERNATE FORMS OF THE TITLE AND OTHER TITLES ON THE PIECE

*This field is now used for all varying forms of title, including those
previous input in 211 (acronym or shortened title -- already obsolete), 212
(variant access title), and 214 (augmented title -- already obsolete)

*Alternate forms of words in the title made for machine indexing, such as
spelling out numbers and symbols.

*Access to portions of the title, such as parallel titles and other title
information

*Other titles on the piece such as spine titles,
 cover titles, added title page titles.

A new subfield has been defined: $i.  Its purpose
is to allow the cataloger to specify the source of
a variant title when no second indicator has the
appropriate meaning.

246 1  $i Alternate issues published with title: $a

A new second indicator, [blank], has been defined for use
with this new subfield. [See below for more detail].

INDICATORS FOR THE 246 FIELD:

First indicator -- Note controller/title added entry

0 -  Note, no title added entry

Use when a note is useful for identification of the
piece but is not a useful access point, for example, a
generic title like "Annual report."

110 20  Media Services Inc.
245 00  Report.
246 0   $i Some issues have title: $a Annual report

1 - Note, title added entry

Use with most other titles appearing on the piece.

245 00 Science in the Soviet Union.

Used for variants like augmented titles (made up by the
cataloger).

Use with alternate titles which are justified by the
245, such as access to portions of the title, parallel
titles, and alternative titles.

SECOND INDICATOR -- TYPE OF TITLE.

*Use this indicator to identify the source of the variant title.  Do not
confuse with the "Title from:" note.

*Use this indicator (in combination with $i) instead of a 500 note for
variant titles.

[BLANK]- NO INFORMATION PROVIDED.

*Use with $i to explain the source of the other title when there is no
specific indicator for that variation.  Give the introductory phrase in
$i, followed by the other title in $a.

245 00  Computerized engineering index.
246 1   $i Also known as: $a COMPENDEX

Use with title variations which do not appear on the
piece, such as spelled out forms of symbols and words.

245 00 Cambio 16.
246 3  Cambio dieciseis

Important points:

*Following a $i phrase, the code "$a" must be input preceding the title.  If
the $a is omitted, the field will not index or display properly.

*The cataloger may choose to use 2nd indicaotr 3 [other title] instead of
formulating a $i if the source of the other title is not considered important
or is difficult to describe, e.g., cover title of inverted title page on
bilingual serial.

*For other titles explained in $i, the first indicator is usually 1.

0 - PORTION OF THE TITLE

Use 2nd indicator 0 when a portion of the title, such
as other title information, a part or section title, or
an alternative title, should be indexed as a phrase.

245 10   American Council on Education studies. $n
          Series III, $p Financial advisory services.
246 30   Financial advisory services

Use for other title information when the 245 $b
consists of an initialism or full form of title
rejected as title proper.

245 00  Library resources market place : $b LRMP.
246 30  LRMP

*For access to portions of the title, the 1st indcator is usually 3.

1 - Parallel title

Parallel titles given in the 245 are recorded with a
2nd indicator 1.

245 00 Japan report = $b Nihon.
246 31 Nihon

* For access to portions of the title, the 1st indicaotr is usually 3.

2 -Distinctive title
3 -Other title

Other title is used when access to another form of
title is needed, such as a variant form of a variant
title.  It may be used instead of $i when the
cataloger does not consider it important to record the
source of the variant form.  Examples include the
titles on editorial or contents pages.

4 - Cover title
5 - Added title page title
6 - Caption title
7 - Running title
8 - Spine title

Subfield codes for the 246 field:

$a -  Title
$b - Remainder of title [rarely used for serials]
$f - Designation of volume number and/or date of work
$g -  Miscellaneous information [rarely used]
$h -  GMD [LCRI prohibits use of GMD's in added
entries]
$i -  Display text
$n -  Number of part/section of work
$p -  Name of part/section of work

Reminders for the 246 field:

*The indicators (and $i) provide justification for this field.  No other note
field is made on the record.

*Initial articles are not included in the 246 $a (including when it follow
$i).  There is no filing indicator.

*No punctuation mark is given at the end of the 246 field.

*The order of input of multiple 246 fields is customarily as follows:
     246 fields with 2nd indicator 0
     246 fields with 2nd indicator 1
     Other 246 fields in the order prescribed by the rules

              OTHER CHANGES IN SERIALS FIELDS

For printed serials several new fields have been
validated but they will be rarely used.  A couple that
you might actually use are:

    501  With: note.  (Use when two separately
     cataloged publications come bound together)

    540  Terms governing use and reproduction  (Use
     when there are restrictions on access, such as rare
     serials or preservation microforms which are under
     copyright protection).

Many fields for nonprint serials are now valid in the
serials format.  Of interest to print serials
catalogers is the 538 for system requirements for
computer files because it can be used to describe
accompanying disks.

     538  System requirements of accompanying diskette:
     Macintoish.

     211  Acronym or shortened title (obsolete)
     212  Variant access title (obsolete)
     214  Augmented title (obsolete)

All of the fields listed above were made obsolete in
favor of the 246 field.

                       SOURCE OF ACQUISITION

     265  Source of acquisition/subscription address
     (obsolete)
     350  Price field (obsolete)

All acquisitions/subscription information is now
recorded in the 037 field.  Subscription addresses
formerly recorded in 265 now goes in 037 $b while price
information goes in $c.

     037  $b Canadian Institute of Internation Affairs,

                    NOTES FOR MICROFORM REPRODUCTIONS

Notes about microform reproductions formerly input in
500 fields following the 533, are now input in $n of
the 533 field.  Subfield $n is repeatable.

     $n Some issues filmed upside down. $n Some frames

                          LINKING CONTROL NUMBER

The 011 field for linking LC control numbers has been
abolished in favor of the $w of the appropriate linking
field.

For example:  When cataloging a microform reproduction
for which you have a Library of Congress catalog record
for the original, record the Library of Congress card
number of the original in field 776 $w of your
record, as shown:

     776 1 $c Original $w DLC) 24020326

This is an extension of the existing practice for
linking online records to enable us to link an online record for a
microform with the LC printed card for the original.

Other types of dash entries include supplements and
other "sidecar" publications.  The card number from the
LC printed card is recorded in the 775 (parent record
entry) $w.
