For security, we bundled up our old kardex cards and filed them into a great big box.......which we never had to look into - which was completely thrown away the following year. Fortunately, we are able to keep alot of information in our computer records for the titles. The key for us was creating many abbreviated codes for repetitive processing functions which increased the amount of room for non-standard notes. So far, we haven't had any regrets. I just discarded it this summer. I have the holdings on a separate computer system but am working on weaning us to just III(Innovative Interfaces Inc). I keep a spreadsheet on all of our missing issues so I don't keep any cards at all now except the current checkin cards. We have Dynix, and we are still using the Kardex for the daily papers with limited retention (3 months). We do this to avoid the onerous task undoing & deleting past checkins to correct the online holdings statements. I *wish* the Dynix serials module would let us automate a 3 month retention and allow daily checkin without later intervention, but it doesn't. (The university's general academic library retains their copies.) We checkin the newspapers on our online library system (Horizon) and change their status to Newspaper Rack. After 2 days, we put them on shelves in Serials and change their status to InSerials. Each Friday the oldest papers are deleted from Horizon and recycled. Since the public and the staff can check Horizon to see whether an issue has arrived, this process has decreased (rather than stopped entirely) questions about the availability of particular issues.
