Beginning in 1998, I grappled with an ever increasing amount of paper in
keeping track of online journals, so armed with a 1/2 day course in
Filemaker Pro, I put all of the various pieces of information into a
database format.
I needed to keep track of acquisitions data, and be able to provide
revised
information to serials staff and catalogers (both areas which I also
oversee).
If I had a little more experience with Filemaker Pro at the time, I
might
have designed things in a more sophisticated manner, but it has at least
helped me put a hold on the chaos...
The most useful fields to track are :
TITLE, PUBLISHER, ISSN, URL, COVERAGE, ACCESS ACTIVATION DATE, ACCESS
METHOD, SUBSCRIBER ID#, ADMINISTRATOR PASSWORD(S), COST/YEAR,
ACQUISITION
STATUS, LICENSE INFORMATION, PAYMENT METHOD,PAYMENT DATE, CONTACT
PERSON,
EXPECTED RENEWAL DATE.
(Of course, there are bound to be some paper records such as license
agreements and e-mailed confirmations etc, which I just keep in a
hardcopy
file, arranged by publisher.)
The databas has offered a convenient means to run sorted lists,
especially
by Publisher, and expected renewal dates.
This work has been incorporated into the general acquisitions workflow,
although as a small site, I keep my hand in it at all times.
I also use the information to revise and update the links to our
ejournals
on our Library's webpage.
